TAC Meeting Minutes
8/27/11

OLD BUSINESS
1. FUND RAISER: It was a success! Players reportedly had fun, and we raised $240 for the Wounded Warrior Project.

2. TAC PR: We still need to look into getting a booth (how much it will cost, etc.). We need to have continual TAC discussions about this event, which will probably be held in November. Those who participate in the organization should talk to the Treasurer (Brian) for payment considerations.

3. WAIVERS: New ones are being developed, and will soon be uploaded to the TAC website for people to review and sign. We are working on cutting down the formatting so it fits onto one sheet. Once posted, please print a copy, sign, and give to the Secretary (Jake).

4. PR ARTICLE: No new news. Kiley is working on it.

5. AO SEARCH: Scott says he is looking into Copper Creek in Mammoth and trying to secure the location. Ultimentra is communicating with Scott about this, and they will post information on the TAC site.

6. MODERATORS: Kiley is working on a rule set for appropriate behavior. We are currently recruiting moderators.

7. NEWS OFFICER: Kiley gave front page set up and access to Matt.

8. U of A STUDENT BOARD: No news.

NEW BUSINESS
1. MINORS: The question arose of whether we want to allow children under 14 to play with a guardian. We also debated if guardians should be required to participate with children under a certain age. We concluded that children age 12-13 must have a participating guardian in order for them to play in our games. Children 14-15 must have a guardian present within visual range of game play, but the guardian is not required to play. Kids 16 and older may play, and they do not have to have a guardian present. However, game moderators have the final say at any given game over who may or may not participate. Kiley will post these new rules.

2. FACE MASKS: Ultimentra brought up the issue of not making full face masks a requirement for underage participants. He said they are uncomfortable and hinder game play. We discussed whether the requirement of this gear was only a legal matter or whether safety was a bigger concern. We questioned whether signing a waiver with rules and liabilities specifically written out was enough to cover TAC in case of an injury and potential lawsuit. California set a precedent of breaking a waiver between a company and parent/child, but there are not many other precedents in this regard. However, Arizona tends to follow California precedents, so this is a concern. We discussed whether there could be some kind of middle ground. Instead of requiring a full paintball-style mask, is there other protection that could be worn over the mouth (e.g. shemagh, softer materials)? Although these are not as solid and protective as a mask, they are more comfortable and versatile. We decided to remove the requirement for a full paintball-style mask, but instead we will require protection for teeth in the form of a mouth guard (e.g. sport-style) for underage participants and specify this in the rules. Furthermore, players must wear sealed eye protection. This requirement will not be changed. We will also make an addition to the existing liability waiver specifically calling attention to the additional risk of not wearing full face protection. Kiley will post the change on the website, and Jake will update the waiver.

3. RED SLEIGH DOWN: We contemplated combining this event with 52 Zulu Battleground or having it as a separate event. We will tentatively accept combining the event, pending consult with Eli.

4. FORUM BEHAVIOR: Members agree certain behaviors are getting out of hand and need to be controlled. We will begin handing out warnings and bans to habitual offenders in an attempt to make our forums more appropriate. Kiley will check on Moderator access (specifically in the Moderated Discussion).

5. GRID MAPS FOR ALL AOs: Tonk said he will take action to make generic maps that we can then edit for our needs. If anyone else has good grid maps, they should give them to Kiley, and we will consolidate.

Minutes are up, thanks Hollywood and Buffalo!

I have a few administrative tasks up there to complete. However, I am swamped with work right now so probably won't get to them until closer to the next meeting. If anyone is interested in picking any of those tasks up in the meantime shoot me a PM.
